M&E Office Coordinator / PA

Russell Cawberry undertakes refurbishment, fast track fit out, structural alteration and new build projects for a range of clients throughout London and the Home Counties up to £6.0m in value within the health, education, commercial, residential and heritage / listed sectors. The company has its own Mechanical and Electrical department who work on Russell Cawberry Limited projects as a subcontractor, as well as working autonomously on its own projects.

We are looking for an Office Coordinator & PA to the MEP Manager to work in our Head Office (based in Cheam, Surrey some 10 miles from Central London.) and give support to the Unit Managers to preserve the smooth running of the business.

Summary of Main duties and responsibilities (the role is varied and may include other tasks as it develops or on an adhoc basis)

  • General admin & PA – Answering the telephone, checking emails, proof reading / editing progress reports that we send out to main contractor, minute taking, making sure everything is being stored in the correct place, health & safety (? – co-ordination/ management ? ) arranging meetings, etc.
  • Dealing with the subcontractors and inhouse managers to clear out snagging sheets within the defects liability period
  • Liaising with utility suppliers for new connections to on site projects.
  • Liaising with subcontractors and suppliers
  • Managing drawing registers, procurement trackers, RFI Trackers
  • Gathering information for O&M manuals and issuing it to the authors.
  • Create project folders and managing the filing system both soft and hard copies.
  • Data entry

Job Type: Full-time
Salary: £20,000 - 25,000.00 /year

Job Location: Cheam, Surrey
Required experience: Administration/PA: 2 years

The role has scope for personal development and the post holder could be given additional responsibilities in time.

  • Excellent written and oral communication skills
  • Excellent MS office Skills
  • A high level of organisation and excellent attention to detail.
  • Good planning skills.
  • The ability to make decisions within their remit but knowing when to escalate.
